Reverse Invoices

Overview

The Reverse Invoices display permits reversal (void) of posted open invoices. Either Accounts Payable or Accounts Receivable invoices may be voided. Payables invoices will be reversed when "Reverse invoices" menu option is selected from the Accounts Payable menu or accounts receivable invoices when selected from the Accounts Receivable menu. The reversal process is similar for both types of invoices.

Enter a "Ledger" to begin void processing. Enter the accounting period to which the reversal journal for this session will be posted. Enter the "Vendor" (accounts payable) or "Customer" (accounts receivable) and type the invoice number to be reversed (voided) in "Invoice". The invoice will then be retrieved and displayed. Enter all invoices to be reversed in the session. Click a retrieved invoice and select "Note" to attach a note to the reversed invoice or "Remove" to remove it from the void session. Click "Post" to submit the session for reversal posting.

All invoices in the session will be marked as void(reversed) and the journal entry distributions posted when the invoice was created will be reversed in the general ledger (and related projects if appropriate). Invoices selected but not yet posted via "Post" will remain in their original unvoided state when the application is exited (browser closed).

Data entry tips

Type "?" in a promptable line edit and press TAB to view and/or select a code value. Click on the desired code in the related selection display to select the code value.

Invoice

The "Invoice" panel enables specification of the home journal for the reversal and the related accounting period to which the reversals will be posted. The ledger and accounting periods may be restricted by user security. Only open (unpaid) invoices may be reversed. If the invoice has been paid an error message will be displayed.

Notes

The "Notes" panel enables entry of free format comments related to an invoice. The text entered will be associated with the invoice from the "Invoice" panel. Type text into the text area and press TAB to save note. Additionally, a file may be attached viewed or removed. An invoice that has an associated note or attachment will have a document id number displayed in "Document".

Notes entered for an invoice will be available for review in the "Vendor inquiry" or "Customer inquiry".
