Customer Inquiry

Overview

"Customer Inquiry" enables analysis of accounts receivable activity. Invoice and receipts information may be retrieved by invoice or check number for a selected customer. Related payment information for retrieved invoices can displayed or similarly, checks may be traced back to the invoices it paid. Any data displayed may be exported to a spreadsheet (via a comma separated variable file) if the user's security settings permit.

Invoices

Type or prompt via "?" the Customer and press TAB. The last invoice and payment received are displayed and all invoices for the customer are shown in the invoices list. Optionally, enter a From date and/or Through date to select invoices from or through a specific date or date range. Additionally, you may select a Status to filter invoice selection further. Click Refresh to see the new list of invoices based on entered filter criteria. Click Export to receive a spreadsheet (CSV file) email attachment if security permits. Click an item in the invoice list to display the related invoice details; the "Invoice Detail" panel is then displayed.

Payments

Customer payments are displayed for the customer id that was entered in the "Invoices" panel. (The customer id must first be entered in the Invoices panel before selection is permitted.) Counts and totals are shown for the customer and payment details are displayed in the payments list. Optionally, enter a From date and/or Through date to select checks received from or through a specific date or date range. Additionally, you may select a Status to filter payment selection further. Click Export to receive a spreadsheet (CSV file) for the displayed payments. Click a payment detail item to display the related payment details; the "Payment Detail" panel is then displayed.

Invoice Detail

The "Invoice Detail" panel is displayed when an invoice list item from the "Invoices" page is clicked. The details for the selected invoice are presented. Additionally, the check listing at the bottom of the display lists the check(s) to which the invoice may have been applied. Optionally, enter a new Invoice number and press TAB to display a different invoice for this customer. Click Export to receive a spreadsheet (CSV file) for the displayed invoice. Click a payment detail item to display the related detail payment details; the "Payment Detail" panel is then displayed.

Payment Detail

The "Payment Detail" panel is displayed when an payment list item from the "Payments" page is clicked. The details for the selected check are presented. Additionally, the invoice listing at the bottom of the display lists the invoice(s) which were applied by this check. Optionally, enter a new Check number and press TAB to display a different check for this customer. Click Export to receive a spreadsheet (CSV file) for the displayed payment. Click an invoice detail item to display the related detail invoice details; the "Invoice Detail" panel is then displayed.

Notes

The "Notes" panel displays the note (if any) that is attached to the most recent customer or detail item retrieved from the dialog. Click View Attachment to display any related attached image to the note or to receive an email attachment containing the attached file if it is not an image.
