Configure Calendars

Overview

"Configure Calendars" enables entry or update of accounting period calendars. Calendars are represented as a calendar name / year combination which define the accounting periods and related ending dates for each period in the specified year. Calendars can be setup ranging from 1 to 366 periods. Multiple calendars names can be defined which represent different types of accounting years. For example, a calendar named "calendar" with year 2013 might represent a calendar starting Jan 1 2013, ending Jan 31 2013 and another calendar named "fiscal" with year 2013 which represents a fiscal year calendar beginning 7/1/2013 and ending 6/30/2014.

Each ledger (company) must be assigned a home calendar. When transactions are entered (e.g. journal entry input, invoice entry, cash receipts, etc.), they are entered in the ledger's home calendar. The posting process will automatically post to all sub-calendars of a ledger if calendar to calendar mappings are established between the home and sub-calendar. In the example above, if the "calendar" calendar above is assigned to a ledger as the home calendar, (and "fiscal" is a designated sub-calendar of the ledger), postings to the "fiscal" sub-calendar will be made automatically based on the mappings setup between the "fiscal" and "calendar" calendars.

Entry tips

Type "?" in a promptable line edit and press TAB to view and/or select a code value. Click on the desired code in the related selection display to select the code value.

Calendar

Type a Calendar name and Year and press TAB or prompt via "?" the calendar to maintain. Enter Description for a new calendar and type Start date representing the first day of the calendar's year. Enter a value in Advance days to specify the system should automatically roll a ledger's accounting period to the next period after the number of days past the accounting period's ending date. Click Save to save the calendar definition.

Type the Period number and its End date. Enter the Reverse in period to indicate to which period an accrual (automatic reversing entry) is posted (typically the next period). Press TAB to add the period to the calendar. The accounting periods defined for the calendar appear in the list below. Click a period displayed in the list and click Delete to remove a period from the calendar.

Calendar to calendar mappings

The "Calendar to calendar mappings" panel enables definition of relationships among periods of two calendars. Using the "calendar" and "fiscal" calendars in the example above, setups can be entered which specify to which period "calendar period 1" relates to in "fiscal" calendar (e.g "calendar" period 7/2014 = "fiscal" period 1/2014).

Type a From calendar name and the from calendar's Year. Type the name of the target calendar in To calendar and press TAB. The periods in "From calendar" will display in the mapping list. Type a From period (of the from calendar) and the equivalent To year and To period that equates to the "To calendar"; press TAB to add the relation to the list displayed below. Be sure to enter relationships for each period in "From calendar". Click Delete to delete all period mappings between the currently specified calendar map. Double click a period mapping in the list and click "Delete" to delete an individual mapping. The item will be marked Deleted and the period mapping can now be re-entered.
